ChatGPT’s settings panel covers everything from privacy and security to personal preferences that quietly improve daily use. This guide walks through each section, explains what the options actually do, and points out the toggles worth changing on day one.
General settings
The General tab covers ChatGPT’s appearance, language, and chat history management.
Theme
You can set the interface to Dark or Light.
- Dark — easier on the eyes at night or in dim environments.
- Light — better visibility in daytime or well-lit settings, with cleaner contrast for long reading sessions.
Always show code when using data analyst
For users running data analysis, this option automatically displays the code ChatGPT generates. Turning it on makes the analysis transparent and reproducible.
For example, if ChatGPT writes a Python script to process a spreadsheet, you’ll see the code immediately — making it easier to follow the logic, catch errors, and adjust the approach.
Language
You can leave language detection on Auto-detect or set a specific language.
- Auto-detect — ChatGPT recognizes the language of your input and replies in kind. Useful if you switch between languages frequently.
- Specific language — pins responses to one language regardless of input. Better for users who want predictable, consistent output.
Archived chats
Click Manage to view and reopen past chats you’ve archived. If you want to revisit an answer from a previous session, archived chats let you find it quickly. You can also unarchive or permanently delete from this view.
Archive all chats
Bulk-archive your entire conversation history in one action. Useful when you want a clean slate without permanently losing past work.
Delete all chats
Permanently delete every chat in your history. This is a privacy-and-data-management feature — and it’s irreversible. Once deleted, the data cannot be recovered, so think carefully before confirming.
Personalization
Personalization settings let you tailor how ChatGPT responds to match your role, preferences, and working style.
Custom instructions
You can pre-set the response style and background context you want ChatGPT to apply to every conversation.
For example, if you work in marketing, setting “use marketing terminology and include real-world business examples” produces more relevant, immediately usable answers. You can also dictate tone — anything from casual conversation to formal business writing — depending on what fits your work.
Memory
ChatGPT’s memory feature stores information you’ve shared with it and uses that context to personalize future conversations.
For example, if you mention “my team works remotely by default, so factor that into any management advice,” ChatGPT will remember that the next time you ask a related question. It’s useful for users who need consistent, individualized responses — but it does mean you should be thoughtful about what personal information you let it retain.
- Manage — review, edit, and delete what’s stored in memory. Pruning outdated or irrelevant entries keeps the memory focused on what matters.
- Clear ChatGPT’s memory — wipe everything stored. Useful when you want a fresh start or when you’ve shared something you’d rather not have retained.
Speech settings
The Speech tab controls voice conversation behavior — most importantly, which voice ChatGPT uses when speaking.
Voice
The available voices each have a distinct character. Pick one based on what feels comfortable for the way you use voice mode:
- Arbor — friendly and versatile
- Breeze — energetic and earnest
- Cove — calm and direct
- Ember — confident and optimistic
- Juniper — open and cheerful
- Maple — bright and unaffected
- Sol — wise and relaxed
- Spruce — measured and affirming
- Vale — bright and curious
Play
A preview button lets you sample each voice before committing. Worth a quick listen — voice mode feels noticeably different depending on which one you pick.
Data controls
The Data controls tab is where you manage how your data is used and shared. For business use, this is the most important section to review.
Improve the model for everyone
This toggle decides whether your conversations can be used to train OpenAI’s models. Leaving it on means your inputs may help improve ChatGPT for all users.
For business contexts or anything involving confidential information, turn this off. On Team and Enterprise plans, training is disabled by default.
Shared links
This is where you manage links you’ve created to share specific chats. You can review, revoke, or delete past shared links here. Sharing is convenient — but check what’s in a chat before generating a public link, especially anything that might include sensitive details.
You can also delete all shared links at once.
Export data
You can export the full record of your ChatGPT activity to a file. This is useful when you want a backup, want to review past work outside the app, or need an offline copy. The export includes:
- Conversation history The complete content of every past chat — questions and responses.
- Shared links Any chats you’ve shared via link are also included in the export.
- Settings Account configuration and personalization settings.
The export is delivered as a downloadable file via email to the address on your account. Because it can include personally identifiable information, treat the file as sensitive — store it securely and delete it when you no longer need it.
Delete account
You can delete your OpenAI account from here. Account deletion is permanent — there’s no undoing it, and you cannot re-register with the same email. Once deletion completes, you’ll lose access to all OpenAI services (ChatGPT, the API, DALL-E, and so on).
A few things to know:
- Data deletion Your data is removed within 30 days of deletion, though some records may be retained for legal compliance.
- No account reuse You cannot create a new account with the same email address, and the deleted account cannot be restored.
- Subscription auto-cancellation Active subscriptions (Plus, etc.) are cancelled automatically as part of the deletion.
- Phone number limits A given phone number can only be associated with up to three accounts ever. Deleting an account does not free up the phone number for additional reuse.

Builder profile
The Builder profile section governs the public information attached to custom GPTs you create.
Profile customization
You can configure a developer name and associated website URL, both of which improve how trustworthy your custom GPTs look to users who discover them.
Name
This is the developer name shown publicly when others use your custom GPTs. To make a GPT available to everyone, you’ll need to verify your identity — either by adding billing information or by verifying ownership of a public domain.
Links
You can connect GitHub, X, and your own domain to the profile.
Connected apps
The Connected apps tab governs integrations between ChatGPT and external services — useful for streamlining file-based workflows.
Google Drive
Connecting Google Drive lets ChatGPT access files in your Drive directly, making uploads seamless. You can disconnect at any time if you no longer want the integration.
Microsoft OneDrive
Microsoft OneDrive connections are available for both personal and work/school accounts. As with Google Drive, this enables direct file uploads without manual download/re-upload steps.
Security
Security settings govern access protection and account-level data safeguards.
Multi-factor authentication
Enabling multi-factor authentication (MFA) adds a second verification step beyond your password. It’s one of the simplest, highest-impact protections you can apply against unauthorized access.
Log out of all devices
This signs you out of every device currently logged in. If you’re worried about a forgotten session on a shared or old device, this is the cleanest way to reset access.
Common problems the settings panel can solve
A surprising number of day-to-day frustrations with ChatGPT can be resolved just by adjusting settings. Here are three of the most common.
ChatGPT keeps replying in the wrong language
If ChatGPT switches to English (or another unintended language) without being asked, you can fix it via custom instructions.
- Set custom instructions — under Settings → Personalization → Custom instructions , add lines like:
- “Always reply in English unless I explicitly ask otherwise.”
- “Use natural, idiomatic English — don’t translate awkwardly from another language.”
Worried someone else might still be logged in on a device you used
If you’ve signed in on multiple devices and aren’t sure they’re all secure, the cleanest fix is to wipe every active session.
- Log out of all devices — under Settings → Security , use Log out of all devices to sign out everywhere at once. This eliminates the risk of an old or shared device retaining access.
Responses are too long, or too short
If the length of ChatGPT’s answers consistently doesn’t match what you want, custom instructions are again the lever.
- Set custom instructions — under Settings → Personalization → Custom instructions , describe your preferred response style:
- For longer responses : “Provide detailed responses with background context where helpful.”
- For shorter responses : “Keep responses concise — get to the point with minimal preamble.”
Used thoughtfully, these settings turn ChatGPT from a generic assistant into something noticeably better suited to how you actually work. Spend ten minutes in the settings panel once and the gains compound for every conversation after.
